Job Description
Are you a highly organized, proactive, and exceptionally detail-oriented individual with a passion for supporting dynamic teams in a fast-paced, remote environment? Automattic is seeking an Administrative Support Executive to join our distributed team. This is a fully remote role, meaning you can contribute from anywhere within the United States, supporting our various departments and leadership. You will be instrumental in ensuring smooth operations, managing complex schedules, coordinating projects, and facilitating effective communication across our global workforce.
As an Administrative Support Executive, you will be the backbone for several key initiatives and individuals, providing comprehensive administrative support that helps our teams stay focused on their core objectives. Key Responsibilities
- Provide comprehensive administrative and executive support to assigned leadership and teams, including calendar management, scheduling meetings, and coordinating complex travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy, clarity, and adherence to company standards.
- Manage and prioritize multiple projects, initiatives, and deadlines simultaneously, ensuring timely completion and follow-up.
- Organize and maintain digital files and records, ensuring easy accessibility and confidentiality of sensitive information.
- Facilitate internal and external communications, acting as a point of contact and ensuring professional and timely responses.
- Assist with the planning and execution of team events, virtual gatherings, and conferences, including logistics and coordination.
- Proactively identify opportunities to improve administrative processes and implement efficient solutions within a remote work setup.
Required Skills
- Minimum of 3 years of progressive experience in an administrative support or executive assistant role.
- Exceptional organizational and time management skills with the ability to prioritize effectively in a dynamic environment.
- Strong written and verbal communication skills, with keen attention to detail and grammar.
- Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and other digital collaboration tools.
- Proven ability to work independently, exercise sound judgment, and maintain confidentiality.
- Demonstrated problem-solving capabilities and a proactive approach to anticipating needs.
- Comfortable working in a fully remote and asynchronous work environment.
Preferred Qualifications
- Experience supporting multiple executives or teams simultaneously.
- Familiarity with project management software (e.g., Asana, Trello).
- Experience working in the tech industry or a distributed company.
