Key Responsibilities
- Manage and maintain executive schedules, including arranging meetings, appointments, and travel itineraries (when applicable).
- Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and professional presentation.
- Organize and coordinate virtual meetings, including setting up technology, preparing agendas, distributing materials, and recording minutes.
- Handle incoming communications (emails, phone calls) with professionalism and discretion, directing inquiries to the appropriate personnel.
- Assist with data entry, record keeping, and maintaining organized digital filing systems.
- Process expenses, invoices, and other financial documents in compliance with company policies.
- Conduct research and compile information as needed to support various projects and initiatives.
- Provide general administrative support to multiple teams, adapting to varying departmental needs and deadlines.
- Maintain confidentiality of sensitive information and exercise discretion in all communications.
- Proactively identify areas for process improvement and contribute to the enhancement of administrative workflows.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively
- Strong written and verbal communication skills, with a keen eye for detail and grammar
- Proven ability to work independently and collaboratively in a remote work environment
- High level of professionalism and discretion when handling confidential information
- Resourcefulness and problem-solving aptitude
- Ability to adapt quickly to new technologies and processes
Preferred Qualifications
- Post-secondary education in Office Administration, Business Administration, or a related field
