Job Description
We are seeking a highly organised, proactive, and experienced Legal Secretary to join our corporate legal team at our bustling Headingley, Leeds office. This pivotal role involves providing comprehensive secretarial and administrative support to our Partners and Solicitors within a dynamic corporate environment. You will be instrumental in the smooth operation of our corporate department, handling sensitive information with the utmost discretion and efficiency. The ideal candidate will possess a solid background in legal secretarial work, particularly within a corporate, commercial, or finance law setting, demonstrating an in-depth understanding of corporate legal processes and terminology.
Your day-to-day responsibilities will be diverse, requiring meticulous attention to detail and excellent communication skills. You will be responsible for managing complex diaries, scheduling meetings, and coordinating travel arrangements for fee earners. A significant part of your role will involve the preparation, amendment, and proofreading of various corporate legal documents, including but not limited to shareholder agreements, board minutes, company resolutions, contracts, and regulatory filings. You will also manage client correspondence, ensuring all communications are professional, accurate, and timely.

Key Responsibilities
- Provide comprehensive secretarial and administrative support to Partners and Solicitors within the Corporate department.
- Prepare, amend, and proofread corporate legal documents, including contracts, resolutions, board minutes, and regulatory filings.
- Manage complex diaries, schedule meetings, appointments, and arrange travel logistics.
- Draft and format letters, emails, and other correspondence, ensuring accuracy and adherence to firm standards.
- Handle incoming and outgoing communications, including telephone calls, emails, and postal mail.
- Maintain electronic and physical filing systems, ensuring all documentation is organised, accessible, and compliant.
- Process expenses, invoices, and assist with billing procedures as required.
- Assist with client onboarding processes, including conflict checks and anti-money laundering procedures.
- Manage deadlines and critical dates, proactively reminding fee earners of upcoming actions.
- Ensure confidentiality and data security are maintained at all times.
- Provide general administrative support, including photocopying, scanning, and reception cover when necessary.
Required Skills
- Minimum of 3 years of experience as a Legal Secretary, preferably within a corporate, commercial, or finance law department.
- Excellent typing skills (minimum 60 wpm) and proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong understanding of legal terminology and corporate legal processes.
- Exceptional organisational and time management skills with the ability to prioritise effectively.
- Meticulous attention to detail and accuracy in all written and administrative tasks.
- Professional and articulate communication skills, both written and verbal.
- Ability to work autonomously and as part of a team in a fast-paced environment.
- High level of discretion and integrity when handling confidential information.
- Proactive attitude and strong problem-solving abilities.
Preferred Qualifications
- Legal secretarial qualification (e.g., CILEx Legal Secretarial Diploma).
- Experience with case management software (e.g., Proclaim).
- Familiarity with company house filings and corporate governance procedures.
- Prior experience supporting multiple fee earners simultaneously.
