As an Executive/Admin Secretary, you will play a pivotal role in ensuring the smooth and efficient operation of our executive office. You will be the primary point of contact for internal and external stakeholders, managing a diverse range of administrative and secretarial duties to facilitate the productivity and strategic objectives of our senior management team. You will be instrumental in preparing, drafting, editing, and formatting a wide array of correspondence, comprehensive reports, impactful presentations, and other important documents, always ensuring accuracy, grammatical correctness, and strict adherence to company branding and communication standards. Handling incoming calls, emails, and visitors with grace, professionalism, and a customer-centric approach, you will act as a vital gatekeeper, skillfully prioritizing interactions, managing information flow, and ensuring all inquiries are directed appropriately and resolved efficiently.

Furthermore, you will be responsible for the systematic organization and maintenance of both physical and electronic filing systems, ensuring documents are readily accessible and compliant with data management policies. Key Responsibilities

  • Manage and maintain executive calendars, schedule appointments, and coordinate meetings.
  • Handle all incoming and outgoing correspondence, including emails, calls, and mail, with discretion.
  • Prepare, proofread, and edit reports, presentations, memos, and other documents.
  • Arrange complex domestic and international travel itineraries, including flights, accommodation, and transportation.
  • Organize and maintain efficient physical and electronic filing systems, ensuring data security and easy retrieval.
  • Act as a primary point of contact and liaison between executives and internal/external stakeholders.
  • Manage office supplies, equipment, and ensure general office tidiness and functionality.
  • Assist in planning and coordinating company events, conferences, and executive functions.
  • Conduct research, compile data, and prepare statistical reports as required by executives.
  • Handle confidential information with utmost discretion and integrity.
  • Support various ad-hoc projects and tasks to assist the executive team.

Required Skills

  • Proven experience as an Executive Secretary, Administrative Assistant, or similar role (minimum 3 years)
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) at an advanced level
  • Exceptional written and verbal communication skills
  • Strong organizational and time-management abilities
  • High level of discretion and ability to handle confidential information
  • Attention to detail and problem-solving skills
