Job Description

As a Reception Host – Global Hiring Scheme at D2L, you will be the welcoming face and voice of our bustling Kitchener headquarters, playing a pivotal role in creating an exceptional first impression for all visitors, clients, and new hires joining us through our global hiring initiatives. Key Responsibilities

  • Warmly greet and welcome all visitors, clients, and new hires, ensuring a positive and professional first impression.
  • Manage the main reception area, maintaining its professional appearance and ensuring a welcoming atmosphere.
  • Answer, screen, and forward incoming phone calls with professionalism, efficiency, and excellent phone etiquette.
  • Coordinate visitor registration, badging, and escorting as needed, adhering to security protocols.
  • Manage incoming and outgoing mail, packages, and deliveries, ensuring timely distribution and dispatch.
  • Schedule and prepare meeting rooms, ensuring they are equipped, tidy, and ready for scheduled use.
  • Provide comprehensive administrative support, including data entry, filing, document preparation, and other clerical tasks.
  • Assist with the coordination of office events, catering arrangements, and general office supply management.
  • Act as a primary point of contact for general inquiries, directing individuals to appropriate departments or resources.
  • Support new employee onboarding logistics, particularly for those joining through global hiring schemes, ensuring a smooth transition to the Kitchener office.
  • Implement and maintain office security protocols for visitor access and general front desk operations.
  • Collaborate with various departments to ensure seamless operational flow and support.

Required Skills

  • Minimum of 2 years of experience in a reception, administrative, or customer service role in a corporate environment.
  • Exceptional verbal and written communication skills with a professional and friendly demeanor.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and general computer literacy.
  • Strong organizational and time-management abilities with meticulous attention to detail.
  • Proven ability to multitask, prioritize effectively, and remain calm and efficient in a fast-paced environment.
  • Strong interpersonal skills with the ability to build rapport with diverse individuals.
  • Proven ability to work independently and collaboratively as part of a team.

Preferred Qualifications

  • Post-secondary education in Office Administration, Business, or a related field.
  • Experience with visitor management systems (e.g., Envoy, Sign In App).
  • Familiarity with G Suite applications (Google Calendar, Docs, Sheets).
  • Fluency in additional languages is considered a significant asset, given our global initiatives.
  • Prior experience working in a fast-paced tech company or a rapidly growing organization.
