Job Description

We are seeking a highly organised, professional, and enthusiastic Receptionist to join our corporate team in Gaborone immediately. As the first point of contact for Sefalana Holdings Co. Ltd., you will play a crucial role in creating a positive and lasting impression for our clients, partners, and employees. This is a vital position that requires exceptional communication skills, a friendly demeanor, and the ability to manage multiple tasks efficiently in a fast-paced corporate environment. You will be the face and voice of our company, responsible for managing the front desk operations, handling incoming calls, and providing administrative support to various departments. Key Responsibilities

  • Warmly greet and welcome visitors, clients, and employees to the office.
  • Manage and direct all incoming phone calls, faxes, and emails to the appropriate departments or individuals.
  • Maintain a tidy and professional reception area, ensuring a welcoming environment.
  • Handle incoming and outgoing mail, couriers, and deliveries.
  • Schedule and manage meeting room bookings and ensure they are prepared for use.
  • Provide general administrative and clerical support to various departments, including data entry, filing, and photocopying.
  • Assist with the coordination of company events and meetings.
  • Manage office supplies inventory and place orders when necessary.
  • Maintain security by following procedures, monitoring logbook, and issuing visitor badges.
  • Process basic invoices and expenses as required.
  • Assist with travel arrangements and accommodation bookings for staff members.

Required Skills

  • Minimum of 1 year of experience in a reception or administrative support role.
  • Excellent verbal and written communication skills in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and time-management abilities.
  • Professional appearance and demeanor.
  • Ability to multitask and prioritize effectively in a busy environment.
