Key Responsibilities

  • Greet and welcome all visitors, patients, and staff with a warm and professional demeanor.
  • Manage incoming calls, direct them to the appropriate department or individual, and take accurate messages.
  • Oversee incoming and outgoing mail, packages, and deliveries, ensuring proper distribution.
  • Maintain the cleanliness and organization of the reception area and common spaces.
  • Schedule appointments, meetings, and conference rooms as required.
  • Provide administrative support to various departments, including data entry, filing, and document preparation.
  • Assist new and relocating employees by providing information on local housing, schools, transportation, and community resources.
  • Coordinate with the Human Resources department and external relocation service providers to facilitate smooth employee transitions.
  • Help new hires with initial onboarding paperwork and orientation logistics.
  • Manage office supply inventory and place orders as needed.
  • Handle inquiries and provide general information about Ochsner Health services and facilities.
  • Uphold patient confidentiality and maintain a high level of discretion in all interactions.

Required Skills

  • Proven experience as a Receptionist, Front Office Representative, or Administrative Assistant (minimum 1.5 years).
  • Exceptional verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Outstanding customer service and interpersonal abilities.
  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Qualifications
