Job Description
Are you an exceptionally organized and detail-oriented professional with a passion for driving projects to successful completion? Surrey Paving & Aggregate Co. Ltd., a leader in Jamaica’s construction and infrastructure development, is seeking a dedicated Project Coordinator to join our dynamic team in Red Hills, Kingston. This is a pivotal role that will support our project managers and teams in the planning, execution, and closure of critical projects across Jamaica.
As a Project Coordinator with a focus on planning and documentation, you will be instrumental in ensuring that project activities are meticulously planned, tracked, and communicated. Your keen eye for detail will be essential in maintaining accurate and up-to-date project documentation, from initial proposals, contracts, and scope definitions to progress reports, meeting minutes, and final close-out documents. You will serve as a central point of contact for information, facilitating smooth and efficient communication between various departments, external contractors, suppliers, and other key stakeholders. Your proactive approach will help in identifying potential roadblocks, assisting with resource allocation, and ensuring that project timelines and deliverables are met.

Key Responsibilities
- Assist Project Managers in developing comprehensive project plans, including timelines, resource allocation, and budget tracking.
- Maintain all project documentation, including contracts, proposals, reports, drawings, specifications, and change orders, ensuring accuracy and accessibility.
- Schedule and coordinate project meetings, prepare agendas, record minutes, and track action items to ensure timely follow-up.
- Facilitate effective communication channels between internal teams, clients, vendors, and other project stakeholders.
- Monitor project progress and provide regular updates and status reports to project managers and relevant parties.
- Support the preparation of project reports, presentations, and other deliverables as required.
- Assist in identifying and resolving project-related issues and escalating complex problems to the Project Manager when necessary.
- Manage and organize project files and databases, ensuring all information is current and properly archived.
- Help to ensure compliance with company policies, industry standards, and regulatory requirements.
- Support the procurement process by assisting with vendor communication and purchase order tracking.
Required Skills
- Proven experience in project coordination or administrative support roles, preferably within the construction, engineering, or related industry.
- Exceptional organizational and time management skills, with the ability to manage multiple priorities effectively.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software (e.g., MS Project, Asana, Trello).
- Excellent written and verbal communication skills for clear and concise reporting and stakeholder engagement.
- High level of attention to detail and accuracy in documentation and data management.
- Ability to work both independently and collaboratively within a team-oriented environment.
- Strong problem-solving abilities and a proactive approach to task completion.
Preferred Qualifications
- Bachelor's degree in Business Administration, Project Management, Construction Management, or a related field.
- Project Management certification (e.g., CAPM, PMP, Prince2 Foundation).
- Familiarity with construction project lifecycles and terminology.
- Experience with document control systems or enterprise resource planning (ERP) software.
- Knowledge of local Jamaican regulatory requirements related to construction projects.
