Key Responsibilities
- Manage complex calendars and scheduling for multiple executives, including coordinating internal and external meetings across different time zones.
- Arrange detailed domestic and international travel logistics, including flight, hotel, ground transportation, and visa applications.
- Prepare and submit expense reports accurately and on time, adhering to company policies.
- Organize and coordinate team events, off-sites, and social gatherings, managing logistics from venue selection to catering.
- Draft, proofread, and edit various communications, presentations, and documents, ensuring accuracy and professional presentation.
- Act as a primary point of contact for internal and external stakeholders, handling inquiries and directing calls appropriately.
- Maintain office supplies inventory, coordinate vendor services, and ensure the workspace is organized and functional.
- Assist with onboarding new team members, including setting up workstations and coordinating introductory meetings.
- Handle confidential information with discretion and maintain a high level of professionalism in all interactions.
Required Skills
- Minimum of 3 years of administrative support experience in a corporate environment, preferably within the tech industry.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and G-Suite (Gmail, Calendar, Docs, Sheets).
- Exceptional organizational skills and meticulous attention to detail.
- Proven ability to manage multiple priorities, work independently, and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills.
- Strong interpersonal skills with the ability to build rapport and work effectively with diverse teams.
