Key Responsibilities
- Provide comprehensive administrative and operational support to the operations team, including scheduling, correspondence, and sophisticated record-keeping.
- Manage and maintain accurate operational data within various systems, ensuring integrity, confidentiality, and compliance with company policies.
- Prepare and disseminate a range of reports, presentations, and vital documents for internal and external stakeholders, often under tight deadlines.
- Assist in the development, implementation, and continuous refinement of operational procedures and workflows to enhance efficiency and productivity across the department.
- Coordinate and meticulously track projects, ensuring all deadlines are met, milestones are achieved, and communicating progress to relevant parties proactively.
- Handle incoming inquiries from clients and internal teams, directing them to the appropriate department or individual while ensuring timely and satisfactory resolution.
- Order, manage, and inventory office supplies, equipment, and resources to maintain a well-stocked, organized, and functional workspace.
- Facilitate seamless internal communications, including drafting important announcements, newsletters, and organizing efficient team meetings and workshops.
- Support the comprehensive onboarding process for new team members by preparing necessary materials, coordinating access, and providing initial training.
- Actively participate in cross-functional projects aimed at improving overall organizational performance, contributing ideas and executing assigned tasks.
Required Skills
- Proven experience (2+ years) in a demanding administrative or operational support role, preferably within a corporate environment.
- Exceptional organizational and advanced time management skills, with a demonstrated ability to prioritize complex tasks and manage multiple projects simultaneously.
- High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), including advanced Excel functions and presentation design.
- Strong attention to detail and unwavering accuracy in data entry, record maintenance, and document preparation.
- Excellent written and verbal communication skills, with the ability to articulate complex information clearly and concisely.

- Associate’s or Bachelor’s degree in Business Administration, Finance, or a closely related field.
- Direct experience within the insurance, financial services, or a highly regulated industry.
- Familiarity with project management tools (e.g., Jira, Asana) and methodologies (e.g., Agile, Waterfall).
- Demonstrated ability to quickly learn and master new software systems and proprietary platforms.
- Experience in process improvement initiatives or Lean Six Sigma principles.
