Key Responsibilities
- Assist Project Managers in the planning, execution, and closing of diverse projects across various departments.
- Develop, maintain, and organize comprehensive project documentation, including project plans, schedules, status reports, meeting minutes, and resource allocations.
- Monitor project progress against established timelines and budgets, identifying potential deviations and proactively escalating risks or issues to the Project Manager.
- Facilitate effective and timely communication channels among project team members, key stakeholders, and external vendors to ensure alignment and transparency.
- Coordinate and schedule project meetings, prepare detailed agendas, distribute pre-reading materials, and accurately record action items and decisions.
- Support resource planning and tracking, ensuring optimal utilization of team capabilities and adherence to project requirements.
- Help manage project budgets, track expenses, and ensure strict adherence to financial guidelines and reporting standards.
- Assist with the preparation of compelling presentations, proposals, and other project-related materials for various audiences.
- Ensure strict compliance with organizational project management standards, methodologies, and governance frameworks.
- Provide comprehensive administrative support to the project team, ensuring smooth and efficient project operations from inception to completion.
Required Skills
- 3+ years of progressive experience in a Project Coordinator, Project Assistant, or similar project support role, preferably within the financial services or insurance industry.
- Proficiency in industry-standard project management software (e.g., Microsoft Project, Jira, Asana, Trello).
- Advanced command of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for document creation, data analysis, and presentations.
- Exceptional organizational skills with a keen eye for detail and accuracy.
- Superior written and verbal communication abilities, capable of articulating complex information clearly and concisely.
- Proven ability to work independently, take initiative, and contribute effectively as part of a collaborative, cross-functional team.

Preferred Qualifications
