Key Responsibilities
- Manage and maintain executive calendars, scheduling appointments, meetings, and conferences, including the comprehensive preparation of meeting materials and accurate minute-taking.
- Prepare, edit, and proofread professional correspondence, internal and external communications, presentations, and other critical documents, ensuring accuracy, clarity, and strict adherence to company standards.
- Organize and coordinate comprehensive office operations and procedures to ensure organizational effectiveness, efficiency, and safety. This includes diligent management of office supplies inventory, coordination of equipment maintenance, and professional liaison with various vendors.
- Handle all incoming and outgoing communications, including managing phone calls, emails, and physical mail, directing inquiries to appropriate personnel, and ensuring timely, professional responses.
- Develop, implement, and maintain highly organized filing systems (both physical and electronic), ensuring accurate record-keeping, easy retrieval of documents, and compliance with data management policies.
- Assist in the meticulous planning and seamless execution of company events, internal meetings, and various employee engagement activities, contributing to a vibrant workplace culture.
- Process invoices, expense reports, and other financial documents with meticulous attention to detail and in strict accordance with established company policies and deadlines.
- Conduct thorough research, compile relevant data, and prepare insightful reports as needed to support various departments and critical projects.
- Act as a professional liaison between different departments and external parties, fostering clear, effective, and respectful communication channels.
- Support new employee onboarding processes by assisting with necessary administrative paperwork, setting up workstations, and providing initial orientation to office procedures and culture.
Required Skills
- Proven experience (minimum 2 years) as an Administrative Assistant, Executive Assistant, or in a similar comprehensive administrative role.
