Job Description
We are actively seeking a highly organized, proactive, and detail-oriented Administrative Assistant to join our new branch in Hilo, Hawaii. Key Responsibilities
- Manage and maintain complex calendars, schedule meetings, appointments, and conference calls efficiently.
- Prepare, proofread, and edit a wide range of documents including correspondence, reports, presentations, and internal communications.
- Organize and maintain comprehensive physical and electronic filing systems, ensuring data accuracy and easy retrieval.
- Act as the primary point of contact for incoming calls, emails, and visitors, directing inquiries appropriately and professionally.
- Coordinate all aspects of travel arrangements, including itineraries and expense report processing for senior staff.
- Monitor and manage office supplies inventory, place orders, and liaise with vendors to ensure timely delivery and cost-effectiveness.
- Assist in the planning and execution of internal events, client meetings, and community outreach programs.
- Facilitate seamless communication flow within the office and with external stakeholders, fostering a positive environment.
- Support the onboarding process for new employees by preparing workspaces and necessary documentation.
- Undertake special projects and assignments as requested, demonstrating flexibility and initiative.
Required Skills
- Minimum of 2 years of experience in an administrative support role.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional written and verbal communication and interpersonal skills.
- Strong organizational capabilities with meticulous attention to detail.
- Proven ability to manage multiple priorities and meet deadlines in a fast-paced setting.
- High degree of discretion and ability to handle confidential information with integrity.
- Demonstrated problem-solving skills and a proactive, solutions-oriented approach.
Preferred Qualifications
- Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field.
- Previous experience working within the banking or financial services industry.
