Job Description
We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to join our team in the vibrant Summerhill neighborhood of Atlanta. Key Responsibilities
- Provide extensive administrative support to senior management and departmental teams, including managing complex calendars, scheduling meetings, and coordinating international and domestic travel arrangements.
- Prepare, proofread, and edit a wide range of documents such as presentations, reports, emails, and internal communications, ensuring accuracy and adherence to brand guidelines.
- Efficiently manage and organize both physical and digital filing systems, ensuring all documentation is easily retrievable and securely stored.
- Serve as the primary point of contact for office visitors and incoming calls, providing professional and courteous assistance and directing inquiries appropriately.
- Oversee office supply inventory, placing orders as needed, managing vendor relationships, and ensuring cost-effective procurement.
- Plan and execute company events, team meetings, and conferences, handling all logistics from venue selection and catering to technology setup.
- Process and reconcile expense reports, invoices, and other financial documentation with accuracy and in a timely manner.
- Assist in the onboarding process for new employees, preparing workstations, distributing necessary materials, and ensuring a smooth transition.
- Maintain strict confidentiality regarding sensitive company information and exercise discretion in all aspects of the role.
- Act as a liaison between different departments and external stakeholders, fostering effective communication and collaboration.
Required Skills
- Minimum of 2 years of proven experience as an Administrative Assistant, Executive Assistant, or in a similar high-level administrative support role.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Exceptional written and verbal communication skills with a strong command of grammar and spelling.
- Superior organizational, time management, and planning skills with an impeccable attention to detail.
- Demonstrated ability to multitask, prioritize workload, and meet deadlines in a demanding environment.
- High level of professionalism, integrity, and discretion when handling confidential information.
