Key Responsibilities
- Manage and maintain executive and team calendars, schedule appointments, and coordinate internal and external meetings, including logistical arrangements for venues, catering, and technology.
- Prepare, proofread, and edit correspondence, communications, reports, presentations, and other documents, ensuring accuracy, professional tone, and adherence to company branding standards.
- Organize and maintain comprehensive filing systems (both physical and electronic) and manage data efficiently, with strict adherence to confidentiality protocols for sensitive information.
- Serve as the primary point of contact for incoming inquiries, effectively screening and directing phone calls, emails, and visitors to the appropriate parties or departments.
- Coordinate extensive travel arrangements, including flights, hotels, ground transportation, and itineraries, and accurately process expense reports in a timely manner.
- Order and maintain office supplies and equipment, manage vendor relationships, and ensure the smooth operation of all office infrastructure and facilities.
- Assist with special projects, research assignments, and event planning as needed, demonstrating flexibility and adaptability to evolving priorities.
- Facilitate clear and effective communication between various internal departments, leadership, and external clients, ensuring timely and professional interactions that uphold Barclays' reputation.
Required Skills
- Proven experience (minimum 12 months) as an Administrative Assistant or in a similar high-level administrative support role.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with learning new software platforms quickly.
- Exceptional written and verbal communication skills, with a keen eye for detail and grammar.
- Strong organizational, time management, and planning skills, with the ability to manage multiple priorities simultaneously.
