Job Description
We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to join our dynamic team in Downtown Newark. Key Responsibilities
- Provide comprehensive administrative support to senior staff and teams, including calendar management, scheduling meetings, and managing appointments.
 - Coordinate domestic and international travel arrangements, including flights, accommodation, and ground transportation, and prepare detailed itineraries.
 - Prepare and submit accurate expense reports, ensuring compliance with company policies and timely processing.
 - Draft, edit, and proofread various communications, presentations, and documents, maintaining a high level of accuracy and professionalism.
 - Manage office supplies inventory, place orders, and ensure the office environment is well-maintained and efficiently stocked.
 - Act as a primary point of contact for internal and external inquiries, directing calls and correspondence appropriately and professionally.
 - Assist with event planning and coordination for team meetings, client engagements, and corporate functions.
 - Handle confidential information with the utmost discretion and integrity.
 - Support special projects and initiatives as assigned, demonstrating flexibility and a proactive approach.
 
Required Skills
- Proven experience as an Administrative Assistant or in a similar support role, preferably within a corporate or financial services environment.
 - Exceptional organizational and time-management skills with the ability to prioritize tasks effectively in a fast-paced setting.
 - Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant office software.
 - Excellent written and verbal communication skills, with a keen eye for detail and accuracy.
 - Ability to work independently, exercise sound judgment, and maintain confidentiality.
 - Proactive attitude and strong problem-solving capabilities.
 
Preferred Qualifications
- Bachelor's degree in Business Administration or a related field.
