Key Responsibilities

  • Provide comprehensive administrative support to partners and professional staff, including calendar management, travel arrangements, and expense reporting.
  • Prepare, proofread, and format various documents, presentations, and reports using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Coordinate and schedule internal and external meetings, including booking conference rooms, arranging catering, and distributing agendas and materials.
  • Manage incoming and outgoing correspondence, including email, mail, and phone calls, ensuring timely and professional responses.
  • Maintain organized filing systems, both electronic and physical, ensuring data integrity and accessibility.
  • Assist with client relationship management activities, including preparing client communications and updating client databases.
  • Handle confidential information with discretion and integrity.
  • Order and maintain office supplies, ensuring adequate stock levels.
  • Support onboarding processes for new team members as needed.
  • Collaborate with other administrative staff to ensure seamless office operations and coverage.
  • Undertake special projects and ad-hoc duties as assigned by leadership.

Required Skills

  • Minimum of 18 months of administrative support experience in a professional office environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills.
  • Demonstrated ability to maintain confidentiality and exercise discretion.
  • High level of attention to detail and accuracy.
  • Proactive and self-motivated with a strong sense of ownership.
  • Ability to work independently and as part of a team.

Preferred Qualifications

  • Associate’s or Bachelor’s degree in Business Administration or a related field.
