Air Canada is seeking a highly organized and detail-oriented Administrative Assistant to join our growing team. While Air Canada’s primary operations are in Canada, this role is crucial for supporting our regional logistics and administrative needs within the United States, specifically in North Dakota. As an Administrative Assistant, you will play a pivotal role in ensuring the smooth and efficient operation of our local administrative functions, contributing directly to the broader success of our North American network. This position requires exceptional organizational skills, a proactive approach, and the ability to manage multiple priorities in a dynamic environment. You will be the backbone of our administrative support, handling a variety of tasks that enable our teams to focus on core operations. Key Responsibilities
- Manage and organize office operations, including filing systems, supplies, and equipment maintenance.
- Schedule appointments, meetings, and travel arrangements for staff members as required.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle incoming and outgoing communications, including mail, email, and phone calls, directing them appropriately.
- Maintain accurate records and databases, ensuring data integrity and confidentiality.
- Assist with basic financial tasks such as expense reporting and invoice processing.
- Coordinate logistics for events, workshops, or training sessions.
- Provide general administrative support to various departments and team members.
- Act as a point of contact for internal and external stakeholders, exhibiting a professional and welcoming demeanor.
- Implement and maintain office policies and procedures to ensure efficiency.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills
- Strong organizational and time management abilities
- Ability to prioritize tasks and manage multiple projects simultaneously
- High level of attention to detail and accuracy
- Proven ability to maintain confidentiality and discretion
- Minimum of 2 years of administrative support experience
