Key Responsibilities
- Process bi-weekly payroll for all Canadian employees, ensuring accuracy and compliance with company policies and statutory regulations.
- Verify and input payroll data, including new hires, terminations, changes in compensation, benefits, and deductions.
- Prepare and reconcile payroll-related accounts, including but not limited to general ledger reconciliations.
- Administer year-end processes, including T4s and other annual reporting requirements, ensuring timely submission.
- Manage payroll remittances to government agencies (CRA) and third-party vendors (benefits, garnishments, etc.).
- Respond to employee inquiries regarding payroll, deductions, and benefits in a professional and timely manner.
- Maintain up-to-date knowledge of Canadian payroll legislation, employment standards, and tax laws to ensure ongoing compliance.
- Assist with internal and external payroll audits, providing necessary documentation and explanations.
- Collaborate with HR and Finance departments to ensure seamless integration of payroll information and processes.
- Identify and implement process improvements to enhance payroll efficiency and accuracy.
Required Skills
- Minimum 3 years of progressive experience in Canadian payroll administration.
- In-depth knowledge of Canadian federal and provincial payroll legislation and tax regulations (e.g., CPP, EI, income tax).
- Proficiency with payroll software systems; experience with QuickBooks Payroll or similar is a strong asset.
- Exceptional attention to detail and accuracy in data entry and calculations.
- Strong organizational skills with the ability to manage multiple tasks and meet strict deadlines.
- Excellent communication and interpersonal skills, capable of handling sensitive information confidentially.
- Proficiency in Microsoft Excel (pivot tables, VLOOKUPs) for data analysis and reporting.
Preferred Qualifications
- Payroll Compliance Professional (PCP) certification from the National Payroll Institute (formerly CPA).
- Post-secondary education in Accounting, Finance, Business Administration, or a related field.
- Experience with a large, multi-provincial payroll environment.
- Familiarity with HRIS (Human Resources Information System) platforms.
- Proven ability to adapt to new technologies and systems quickly.
