Job Description

We are seeking a highly motivated, empathetic, and detail-oriented Medical Receptionist to join our dedicated team in Ipswich. Key Responsibilities

  • Greet and welcome patients and visitors in a professional, courteous, and friendly manner.
  • Manage patient appointments, including scheduling, rescheduling, and cancellations, using our practice management software efficiently.
  • Answer incoming calls promptly, triage inquiries effectively, and direct them to the appropriate department or individual.
  • Register new patients and update existing patient information accurately and thoroughly, ensuring data integrity.
  • Process patient payments, issue receipts, and manage billing inquiries with precision.
  • Maintain strict patient confidentiality in accordance with GDPR, NHS guidelines, and all relevant healthcare regulations.
  • Manage incoming and outgoing mail, faxes, and emails, ensuring timely distribution.
  • Prepare consultation rooms and ensure waiting areas are tidy, clean, and welcoming for all patients.
  • Assist with a wide range of general administrative tasks, including filing, scanning, data entry, and record management.
  • Liaise effectively with medical staff, pharmacists, and other healthcare professionals to ensure coordinated and seamless patient care.
  • Handle patient queries and complaints with empathy and professionalism, escalating issues to management when necessary.
  • Maintain an organised, efficient, and well-stocked reception area.
  • Undertake any other duties as required to support the smooth and effective running of the clinic operations.

Required Skills

  • Proven experience (at least 1 year) as a Medical Receptionist or in a similar administrative role within a healthcare setting.
  • Exceptional customer service and communication skills, both verbal and written, with a clear and professional telephone manner.
  • Proficiency in using patient management systems (e.g., EMIS Web, SystmOne, or similar).
  • Strong organisational and multitasking abilities with excellent attention to detail and accuracy.
