Key Responsibilities
- Manage and maintain complex calendars, scheduling meetings, appointments, and travel itineraries for leadership and team members.
- Coordinate domestic and international travel arrangements, including flights, accommodation, and ground transportation.
- Prepare and submit expense reports accurately and in a timely manner, ensuring compliance with company policies.
- Organize and coordinate internal and external meetings, including preparing agendas, taking minutes, and arranging necessary technical equipment and catering.
- Act as a primary point of contact for internal and external inquiries, directing them to the appropriate personnel or resources.
- Assist with onboarding new team members, including preparing workspaces and coordinating necessary access and equipment.
- Manage office supplies, equipment, and facilities, ensuring a well-stocked and functional work environment.
- Support various projects and initiatives by conducting research, compiling data, and preparing presentations or reports.
- Maintain a high level of confidentiality and discretion in all aspects of work, particularly with sensitive information.
- Foster a positive and collaborative office environment, assisting with event planning and team-building activities.
Required Skills
- Proven experience (2-3 years) in an administrative or executive support role within a fast-paced corporate environment.
- Exceptional organizational and time management skills, with the ability to prioritize multiple tasks effectively.
- Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) or Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong written and verbal communication skills, with an acute attention to detail.
