Key Responsibilities

  • Manage and maintain accurate patient charts, including admission, transfer, and discharge documentation.
  • Act as a central communication point, answering phones, redirecting calls, and relaying messages accurately to healthcare team members, patients, and families.
  • Schedule and coordinate patient appointments, tests, and procedures, ensuring timely and efficient flow.
  • Order and maintain an adequate supply of unit-specific forms, office supplies, and patient care materials.
  • Perform data entry and manage electronic health records (EHR) systems with precision and confidentiality.
  • Assist with the preparation of patient care reports and documentation as required.
  • Maintain a clean, organized, and efficient work environment on the nursing unit.
  • Provide administrative support to nurses, physicians, and other allied health professionals.
  • Ensure compliance with all hospital policies, procedures, and patient confidentiality (PHIPA) regulations.
  • Support the welcoming and orientation of new patients and their families to the unit.

Required Skills

  • High school diploma or equivalent
  • Minimum of 6 months experience in an administrative or office support role, preferably within a healthcare setting
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively
  • Exceptional verbal and written communication skills
  • Strong attention to detail and accuracy
  • Ability to work independently and as part of a multidisciplinary team
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
  • Basic knowledge of medical terminology

Preferred Qualifications

  • Medical Office Administration or Health Unit Coordinator diploma/certificate from a recognized college.
  • Previous experience working in a hospital or clinical environment.
  • Familiarity with hospital information systems (e.g., Meditech, Cerner, EPIC).
  • Experience with scheduling and patient registration software.
  • Bilingualism (English/French) is an asset.
