Key Responsibilities

  • Manage and maintain complex calendar and scheduling for the booking agent, including meetings, travel, and client engagements.
  • Handle high-volume phone calls, emails, and correspondence with clients, promoters, venues, and internal teams.
  • Prepare, edit, and distribute various documents, including offers, contracts, itineraries, and promotional materials.
  • Coordinate detailed travel arrangements (flights, hotels, ground transportation) for artists and agent.
  • Organize and maintain comprehensive client files and databases, ensuring accuracy and confidentiality.
  • Conduct research on potential venues, markets, and industry trends to support booking strategies.
  • Process expense reports and manage invoices, ensuring timely and accurate submission.
  • Assist with event planning and execution, including guest lists, ticketing, and artist hospitality.
  • Act as a liaison between the booking agent and other departments within CAA.
  • Perform general administrative duties and ad-hoc projects as assigned to ensure efficient office operations.

Required Skills

  • Exceptional organizational and time management skills with keen attention to detail.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
