Key Responsibilities
- Manage and maintain executive schedules, including arranging meetings, appointments, and travel itineraries.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Organize and coordinate office operations and procedures to ensure organizational effectiveness and efficiency.
- Handle incoming calls and other communications, including faxes and emails, directing them to the appropriate person or department.
- Serve as the primary point of contact for internal and external inquiries, exercising discretion and professional judgment.
- Maintain an organized filing system, both physical and electronic, ensuring easy retrieval of information.
- Assist with event planning and coordination, including venue booking, catering, and guest logistics.
- Order and maintain office supplies, ensuring adequate stock levels.
- Process expense reports and manage petty cash reconciliations.
- Support special projects and initiatives as assigned by department leadership.
Required Skills
- Proven experience as an Administrative Assistant, Executive Assistant, or similar role (minimum 2 years).
- Excellent written and verbal communication skills in both German and English.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and planning skills with excellent attention to detail.
- Ability to prioritize tasks, manage time effectively, and work independently.
- Discretion and confidentiality, with the ability to handle sensitive information.
- Strong interpersonal skills and a professional demeanor.
