Key Responsibilities
- Greet and check-in patients and visitors warmly, ensuring a positive first impression.
- Manage patient appointments, including scheduling, rescheduling, and confirming using electronic systems.
- Answer multi-line phone systems, direct calls, and take messages accurately and efficiently.
- Process patient registrations, verify insurance information, and collect co-pays/payments.
- Maintain patient records, ensuring all information is current, accurate, and confidential in compliance with HIPAA regulations.
- Prepare and organize patient charts, forms, and necessary documentation for appointments.
- Assist with general office duties such as filing, faxing, scanning, and managing office supplies.
- Coordinate with clinical staff to ensure smooth patient flow and address any immediate needs.
- Provide clear and concise information to patients regarding services, policies, and procedures.
Required Skills
- High School Diploma or equivalent.
- Minimum of 6 months experience in an administrative, customer service, or front office role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities with attention to detail.
- Ability to maintain composure and professionalism in a fast-paced environment.
- Demonstrated ability to handle confidential information with discretion.
- Basic understanding of medical terminology and patient privacy (HIPAA) regulations.
Preferred Qualifications
- Associate’s Degree in Medical Office Administration or related field.
- Previous experience working in a healthcare or medical office setting.
- Experience with electronic health record (EHR) systems, preferably Epic or similar.
- Bilingual proficiency (especially Spanish) is a plus.
- Certification in medical administrative assistance or a related field.
