Job Description

Key Responsibilities

  • Greet and welcome patients and visitors with a friendly and professional demeanor.
  • Schedule and confirm patient appointments, manage calendars, and optimize clinic flow.
  • Register new patients and update existing patient demographics and insurance information accurately.
  • Answer multi-line phone systems, direct calls, and take detailed messages.
  • Collect co-pays, deductibles, and other payments, and process financial transactions.
  • Maintain patient records and ensure confidentiality in compliance with HIPAA regulations.
  • Verify insurance eligibility and obtain necessary authorizations.
  • Handle patient inquiries and provide information regarding services, policies, and procedures.
  • Assist with administrative tasks such as filing, faxing, scanning, and managing incoming/outgoing mail.
  • Collaborate with clinical staff to ensure seamless patient transitions and effective communication.

Required Skills

  • High School Diploma or GED
  • Minimum of 1 year of experience in a medical office, hospital, or customer service setting
  • Proficiency in medical office software and electronic health records (EHR) systems
  • Excellent verbal and written communication skills
  • Strong organizational and multi-tasking abilities
  • Exceptional customer service and interpersonal skills
  • Ability to maintain strict confidentiality (HIPAA)

Preferred Qualifications

  • Associate's Degree or higher in Medical Office Administration or a related field
  • Experience with Epic EHR system
  • Bilingual proficiency (especially Spanish or Vietnamese)
  • Knowledge of medical terminology and billing practices
