Job Description
We are urgently seeking a highly skilled and experienced Remote Legal Secretary to join our dynamic team. This is an immediate start, full-time position, ideal for a proactive and organised professional who thrives in a virtual environment. As a Remote Legal Secretary, you will play a crucial role in providing comprehensive administrative and secretarial support to our legal professionals, ensuring the smooth and efficient operation of their daily tasks. Your expertise in legal procedures, document management, and communication will be essential in maintaining our high standards of service. This role requires exceptional attention to detail, strong organisational skills, and the ability to work independently while remaining an integral part of our team. You will be responsible for managing a diverse workload, prioritising tasks effectively, and demonstrating a keen understanding of legal terminology and ethical considerations. The successful candidate will be tech-savvy, proficient with various legal software and communication tools, and possess a dedicated home office setup conducive to remote work. While based remotely, you will be expected to maintain strong communication lines with your team members and supervisors, participating actively in virtual meetings and collaborative projects.
Key Responsibilities
- Provide comprehensive secretarial and administrative support to assigned legal fee earners remotely.
- Draft, format, and proofread legal documents, correspondence, and reports with meticulous accuracy.
- Manage diaries, schedule meetings, and arrange virtual conferences, ensuring seamless coordination.
- Handle incoming calls and emails, screening and prioritising communications professionally.
- Organise and maintain electronic filing systems, ensuring all documents are readily accessible and compliant.
- Process expenses, manage billing cycles, and assist with financial administration tasks.
- Conduct basic legal research and gather information as required by fee earners.
- Prepare bundles for court, client meetings, and other legal proceedings.
- Assist with client onboarding processes and maintain client relationships through professional communication.
- Ensure strict adherence to confidentiality protocols and data protection regulations at all times.
Required Skills
- Minimum 2 years of experience as a Legal Secretary, preferably within a law firm setting.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent typing speed and accuracy (minimum 65 WPM).
- Strong understanding of legal terminology, procedures, and ethical guidelines.
- Exceptional organisational and time management skills with the ability to prioritise effectively.
- Demonstrated ability to work independently and as part of a remote team.
- Outstanding written and verbal communication skills.
- High level of professionalism and discretion.
- Reliable high-speed internet connection and a dedicated home office setup.
Preferred Qualifications
- Relevant secretarial qualification (e.g., CILEx, Pitman Training, or equivalent).
- Experience with specific legal practice areas such as Corporate, Commercial, or Property Law.
- Proficiency with legal practice management software (e.g., Aderant, SOS Connect).
- Experience working in a remote or hybrid work model previously.
