Texas Health Resources is seeking a highly skilled Executive Assistant to provide comprehensive administrative and strategic support to our senior leadership team in Arlington, Texas. This pivotal role requires someone who can anticipate needs, manage complex calendars, facilitate critical communications, and handle sensitive information with the utmost confidentiality. Key Responsibilities
- Manage and maintain complex calendars, including scheduling meetings, appointments, and travel arrangements for executive leadership with meticulous attention to detail.
- Prepare and edit correspondence, communications, presentations, and other documents for internal and external audiences, ensuring accuracy and professional presentation.
- Organize and coordinate executive meetings, including preparing agendas, compiling pre-read materials, recording minutes, and tracking action items to ensure timely follow-up.
- Act as a primary point of contact and liaison between executives, employees, clients, and external stakeholders, handling inquiries professionally and directing them appropriately.
- Conduct research, compile data, and prepare comprehensive reports or summaries as required to support executive decision-making and strategic planning.
- Handle sensitive and confidential information with the highest level of discretion and integrity, maintaining strict privacy standards at all times.
- Oversee office management tasks, including ordering supplies, processing expense reports, managing invoices, and coordinating facility needs to ensure a productive work environment.
- Plan and execute special projects and events as assigned by leadership, demonstrating strong project management skills and attention to logistical details.
- Develop and maintain an organized filing system for critical documents, both physical and electronic, ensuring easy retrieval and compliance.
- Provide comprehensive support for board meetings and other high-level organizational committees, including document distribution and logistical coordination.
Required Skills
- Minimum of 5 years of progressively responsible experience supporting C-level executives or senior leadership in a fast-paced environment.
- Exceptional organizational and time management skills with a proven ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines effectively.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), including complex scheduling and document creation.
- Excellent written and verbal communication skills, with a keen attention to detail and the ability to articulate clearly and concisely.
- Demonstrated ability to maintain confidentiality, exercise sound judgment, and exhibit professional discretion in all interactions.
- Proactive problem-solver with strong analytical and decision-making capabilities, able to anticipate needs and act independently.
- Ability to work independently with minimal supervision while also being a collaborative and supportive team player.
Preferred Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Experience working within the healthcare industry or a large, complex organizational structure.
- Proficiency with virtual meeting platforms (e.g., Zoom, Microsoft Teams) and associated technologies.
- Experience with enterprise resource planning (ERP) software or other large-scale administrative systems.
