We are urgently seeking an experienced and highly motivated Legal Secretary to join our dynamic team in Hong Kong on a contract basis, offering flexible hours. Key Responsibilities
- Provide comprehensive secretarial and administrative support to assigned lawyers and legal teams across various practice areas.
- Prepare, edit, format, and proofread legal documents, correspondence, presentations, and reports with precision and accuracy, adhering to firm standards.
- Manage and maintain lawyers' complex calendars, including scheduling appointments, meetings, court dates, and travel arrangements.
- Handle all incoming and outgoing communications, including telephone calls, emails, and physical mail, with the highest level of professionalism and discretion.
- Organize and maintain meticulous physical and electronic filing systems, ensuring all documents are readily accessible, secure, and confidential.
- Assist with billing procedures, prepare expense reports, and manage other financial administration tasks as required.
- Coordinate and facilitate local and international travel arrangements and accommodations for legal professionals.
- Conduct basic legal research, retrieve case information, and gather relevant data as requested by lawyers.
- Act as a primary point of contact for clients, answering queries, relaying messages, and providing updates as directed by the legal team.
- Ensure strict adherence to all legal procedures, firm policies, and stringent confidentiality protocols.
- Assist with ad-hoc projects, special assignments, and other administrative tasks as required to support the legal team and overall firm operations.
Required Skills
- Minimum of 3 years of demonstrable experience as a Legal Secretary or in a similar senior administrative role within a reputable law firm in Hong Kong.
- Excellent command of both spoken and written English; strong proficiency in Cantonese and/or Mandarin is highly advantageous.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with legal practice management software.
- Exceptional organizational skills with a proven ability to prioritize tasks, manage multiple deadlines, and work effectively under pressure.
- Outstanding attention to detail and unwavering commitment to accuracy in all tasks.
- Demonstrated ability to work both independently and collaboratively as part of a high-performing team in a demanding environment.
- Proven ability to maintain strict confidentiality and exercise impeccable discretion with sensitive information.
- Strong communication, interpersonal, and client-service skills, with a professional and approachable demeanor.
Preferred Qualifications
- Diploma or degree in Legal Studies, Business Administration, Secretarial Studies, or a related field.
- Prior experience supporting lawyers in specific practice areas such as Corporate, Commercial Litigation, Intellectual Property, or Banking & Finance.
- In-depth knowledge of Hong Kong legal procedures, court protocols, and legal terminology.
- Familiarity with electronic discovery platforms and sophisticated document management systems.
