Key Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate appointments across different time zones for multiple executives.
  • Prepare, proofread, and edit correspondence, reports, presentations, and other documents, ensuring accuracy, consistency, and professional presentation.
  • Organize and coordinate virtual meetings and conferences, including setting up video conferencing, preparing detailed agendas, and distributing relevant materials.
  • Act as a primary point of contact for internal and external communications, screening and prioritizing emails, phone calls, and messages efficiently.
  • Assist with various project coordination tasks, conduct research, and gather data as needed by the leadership team to support strategic initiatives.
  • Handle highly sensitive and confidential information with the utmost discretion and integrity.
  • Facilitate and manage virtual travel arrangements and detailed expense reporting, even in a remote context for occasional on-site meetings or events.
  • Proactively identify and address potential scheduling conflicts, administrative roadblocks, or operational inefficiencies.
  • Maintain an organized and accessible digital filing system for important documents, records, and communications.
  • Provide comprehensive personal assistant duties for executives where appropriate and agreed upon, ensuring their personal and professional commitments are aligned.

Required Skills

  • Minimum of 4 years of progressive experience as an Executive Assistant, Senior Administrative Assistant, or similar role supporting C-suite or senior executives.
  • Proven experience successfully working in a remote or hybrid work environment, demonstrating strong self-management and collaboration skills.
  • Exceptional organizational, time management, and multitasking skills with a keen eye for detail.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and extensive experience with collaboration tools (e.g., Microsoft Teams, Zoom, Google Workspace).
  • Excellent written and verbal communication skills in English (C1 level or higher is mandatory).
  • Strong analytical and problem-solving abilities, capable of independent decision-making when necessary.
  • High level of professionalism, integrity, discretion, and strict adherence to confidentiality protocols.
  • Ability to work independently and proactively with minimal supervision, demonstrating initiative.
  • Strong adaptability and comfort with learning and leveraging new technologies and digital platforms quickly.
